Administrative assistants find unique and better ways to manage departmental needs and develop strategies to ensure the smooth running of an office. The Administrative Assistant provides support to multiple departments throughout the firm. In this role, we are looking for an ambitious, timely, and efficient individual who can provide support in day-to-day office operations. The ideal candidate must be detailed oriented, possess excellent organizational skills, and must work well under time constraints.

The Administrative Assistant will be handling correspondence for architectural, engineering, and surveying departments, providing assistance with the preparation and delivery of project plans and specifications and maintaining general office files, and other files related to the firm’s operations.

RESPONSIBILITIES

  • Ensure general day-to-day operational efficiency of the office, making sure that management and staff have the tools necessary for the success of a project and can do so in a positive and inspiring environment.
  • Perform administrative support tasks such as typing proposals, letters, specs, reports; proofreading; transcribing handwritten information utilizing Microsoft Word as well as developing and maintaining Excel spreadsheets.
  • Assist in the preparation and delivery of proposals, plans, and specifications.

EDUCATION & SKILLS

The preferred candidate shall possess a high school diploma or GED.

The preferred candidate should be:

Detail Oriented – Ability to exercise attention to detail and have a solid understanding of how buildings are constructed.

Client Focused – Ability to respond to client needs in a timely manner.

An Effective Communicator – Ability to clearly communicate ideas, actively listen, and ask appropriate questions.

A Critical Thinker – Ability to problem solve and make good decisions.
